Where Chapter officer’s "Member Status" changes via Vault are displayed for review. The recommendation is to review the queue daily.
Individual Status Change Queue Procedure
- Check all records in the queue.
- Review records for:
- Officers moved to ‘Alumnus.’
- Newly initiated members moved to ‘Alumnus.’
- Initiated members moved to ‘Alumnus’ without a graduation date.
- Deselect records that require follow-up.
- Process checked records.
- Follow up with the appropriate officers regarding the remaining records:
- Initiated members moved to Alumnus without a graduation date:
- Email the Chapter officer who made the member status change along with the Chapter President and Secretary, (copy the Consultant) to notify them of the changes made that did not include graduation dates.
- Process the record accordingly.
- Officers moved to Alumnus:
- Add an ‘End’ date to the officer’s office record (the date of the member status change).
- Email the Chapter officer who made the member status change along with the Chapter President and Secretary, (copy the Consultant) to notify them of the change(s); request they update their officer listing.
- Process the record accordingly.
- Newly initiated members moved to Alumnus:
- Email the Chapter officer who made the member status change along with the Chapter President and Secretary (copy the Consultant) to notify them of the change(s). Request information as to why the newly initiated member displays an ‘Alumnus’ member status.
- Process the record accordingly.
- Initiated members moved to Alumnus without a graduation date:
