Contact Log (Communications)
Left-hand Navigation: People » Individual Profile » Communications » Contact Log
All of the Contact Logs that are on an individual’s records can be searched for and reviewed here.
You can search on the following Fields:
- Type – Pick from a list of Contact Log types in Compass
- Entry – Type keywords of any entry you are looking for
- Contacted By – Type in an individual's name that created the Contact Log
- Private – You can restrict who's able to visit the log
- Campaign - See if the log is associated with a fundraising campaign
- Prospect Status – See where individuals are in the moved management process
- References - Can see individuals tied to the log
- Created By - Who created the log
- Contact Date – What date was the contact made
- Entered On Date - The date it was entered into Compass
- Contact Purpose – Why did this individual get contacted?
- Accompanied By – Was there more than one person during_ the meeting with the individual?
Attaching Documents
- Note the drop-down arrow/icon to the right of a Contact Log. Clicking this will give you the option to upload a stored document (alongside notes detailing it).
- *** If the document(s) are already attached, additional documents can still be added. For those already attached, their inputted description will display when the user goes to upload another.
Adding a Contact Log
- Normal Log or Fundraising
- If Fundraising - The user is taken to an area where tasks can be entered. If the "Prospect Status" is changed, it moves the person into a new Fundraising status amongst the "Fundraising Reports".
- NOTE - Only those with Fundraising access can view these logs
- If Fundraising - The user is taken to an area where tasks can be entered. If the "Prospect Status" is changed, it moves the person into a new Fundraising status amongst the "Fundraising Reports".
- Choose a Contact Log Type (They're managed in the Admin section)
- Enter a Contact Date (The date the contact took place – edit if that date is not today)
- Contacted By (if applicable) - Ex., if a Headquarters staff member calls an individual about their record, the Contact Log would be on Joseph’s record and the Contacted By would be that staff member.
- Entry – This is where you record the notes.
- References - If there is another individual who should have matching notes on their record, enter their name in the References box. The search feature will activate and the person (or multiple people) can be selected from a list.
- Create Log Entry – Stamps the notes on the individual’s record, and on any record referenced.
